WhatsApp is how most Indian customers prefer to talk to businesses. The free WhatsApp Business app is perfect for a single shop owner. But once you have several team members, high message volumes or want automation, you'll need the WhatsApp Business Platform, commonly called the WhatsApp Business API.
App vs API: the key differences
WhatsApp Business app
- Free, installed on a phone
- Limited number of linked devices
- Manual replies with quick replies, labels and a catalogue
- Broadcast lists only reach people who saved your number
WhatsApp Business Platform (API)
- No app interface of its own — you use it through a provider's dashboard or your own software
- Many agents can reply from one number
- Automation: chatbots, auto-replies, CRM integrations, order updates
- Template messages to opted-in customers at scale
- Green verified badge possible for eligible brands
What can you do with the API?
- Lead capture: auto-reply to ad enquiries, ask qualifying questions, route to the right salesperson
- Appointment reminders for clinics, salons and service businesses
- Order and delivery updates for e-commerce
- Payment reminders and receipts
- Customer support with a shared inbox for your team
- Marketing messages — offers and launches to customers who opted in
- Click-to-WhatsApp ads that start conversations straight from Facebook and Instagram
Tell us about your business — we'll audit your online presence and send a plan within 24 hours.
How pricing works
Meta charges for WhatsApp Business Platform messages by category — for example marketing, utility (like order updates) and authentication (like OTPs). Customer-initiated service conversations within the customer service window are treated differently from business-initiated templates. Rates differ by country and change from time to time, so always check Meta's current rate card for India.
On top of Meta's charges, most businesses pay a provider (Business Solution Provider) fee for the dashboard, chatbot builder and support — anything from a modest monthly subscription to enterprise pricing.
Rules you must follow
- Customers must opt in to receive your messages.
- Business-initiated messages outside the service window must use approved templates.
- Spammy behaviour lowers your quality rating and messaging limits — or gets the number restricted.
How to set it up
- Create or use your Meta Business Manager account and verify your business where required.
- Choose a provider, or use Meta's Cloud API directly if you have developers.
- Register a phone number that isn't active on the regular WhatsApp app.
- Set your display name and profile.
- Create and submit message templates for approval.
- Connect your CRM, website or ads, and build your first automation flows.
Choosing a provider
Compare: dashboard usability, chatbot flexibility, CRM integrations, Indian-language support, pricing transparency and support hours. Avoid long contracts until you've tested the workflow.
Is the API right for you?
Yes if you have more than a couple of people handling WhatsApp, more than a few dozen enquiries a day, or you want reminders and automation. If you're a single owner replying personally, the free app is often enough — see our guide to WhatsApp marketing for small business.
Example automations by industry
- Clinic: booking confirmation → reminder the day before → post-visit care instructions → review request
- Real estate: ad enquiry → instant brochure and price list → qualifying questions → site-visit slot booking → reminder
- E-commerce: order confirmation → shipping update → delivery confirmation → review request → reorder reminder
- Coaching institute: enquiry → course details and fees → counselling slot booking → batch start reminders
- Restaurant: table booking confirmation → reminder → feedback request
Start with one flow that saves the most time or recovers the most lost leads.
Questions to ask a provider
- What is your monthly platform fee, and is there a per-message markup over Meta's charges?
- How many team members can use the shared inbox?
- Can we build chatbot flows ourselves without coding?
- Which CRMs and tools do you integrate with?
- Do you support Indian languages in templates and chatbots?
- How do you help with template approvals and quality ratings?
- Can we export our data and move providers later?
Keeping your quality rating healthy
Meta monitors how customers react to your messages. To stay in good standing:
- Send marketing messages only to people who opted in
- Keep messages relevant and not too frequent
- Make opting out easy
- Respond to customer messages promptly
A low quality rating can reduce how many messages you're allowed to send, so treat it as seriously as your Google reviews.
